We collect only the information needed to provide safe and professional security services. This may include your name, contact details, organisation information, service requirements, and any details necessary for us to deliver the service you have requested. When carrying out security work, we may also collect information relating to incidents, safety concerns, trespass situations, vehicle registration numbers for clamping and compliance work, photographs taken for evidence, and notes from site patrols.

We collect most information directly from you when you request a quote, make a booking, or communicate with us by phone, email, or through our website. Additional information may be captured as part of our operational duties when responding to incidents or carrying out site checks. We may also receive information from event organisers, property owners, or clients where it is necessary for health, safety, or service delivery.

Our website collects basic analytics such as IP address and browser type whenever someone visits or submits an enquiry. We do not use body cameras or GPS tracking, although we may be given access to CCTV footage by clients for legitimate safety or incident-related purposes.

How we use, share and store your information

We use the information we collect to deliver and manage our security services, maintain safety at events, retail environments, and private sites, respond to incidents, complete compliance and clamping documentation, communicate with clients, and manage administrative tasks such as invoicing and account management. We also use information to meet our legal obligations and to help improve our services over time. Information is only used for the purpose it was collected or for a closely related purpose.

Crow Security may share personal information where it is necessary to provide our services, where you have given consent, or where we are required to do so by law—for example, with the Police, insurance companies, or in response to a court order. In some cases, information may be shared with subcontractors working under our direction, although this is rare and always controlled. Information may also be shared if immediate action is required to protect someone’s health or safety. Crow Security does not sell personal information under any circumstances.

We store information securely using protected digital systems with restricted access, secure handling of documents and photographs, and safeguards designed to prevent unauthorised access. Information is retained only for as long as required for operational, legal, or insurance purposes. Under the Privacy Act 2020, you have the right to request access to any personal information we hold about you and to ask for corrections if you believe any details are inaccurate. You may also contact us at any time to ask how your information is being used. We will respond to all requests within twenty working days.
